CHAIRb Top 10 Frequently Asked Questions:

  1. How do I make sure all of my study staff has access to the research documents?
    1. In order for study staff to have access to the study application, protocol document, consent documents and recruitment documents, they have to be listed in Section 1.0 (Study Identification) of the application as either a “Co-Investigator” or “Other Study Staff.” Make sure to list all study personnel when submitting your Initial Review; or if research is already approved, submit an Amendment adding new research personnel. To request an account for new study staff email the CHAIRb listserv ( the new personnel’s name, email and institution they are affiliated with, please make the email subject “New Personnel Account Request.”  Personnel must have a CHAIRb account prior to being listed in Section 1.0 of the application.
  2. If I notice a spelling error on a research document can I edit the document and upload it to the Portal without submitting an amendment?
    1. No. Any changes to the submitted research must be uploaded via an Amendment no matter how small the change.
  3. Can study staff or personnel listed as a co-investigator submit an Amendment?
    1. Personnel listed as “Co-investigators” and “Other Study Staff” in Section 1.0 of the application cannot submit an Amendment for review. They can fill out the Amendment form, however, the Principal Investigator (PI) for the study must be the one who actually submits the amendment for review.
  4. Can I submit more than one Amendment at a time?
    1. No. The CHAIRb Portal is designed in a way where only one Amendment to research can be submitted for review. You must wait to have the Amendment approved or disapproved before you can submit any further Amendments.  
  5. Can I begin my research at all CAPriCORN institutions as soon as I receive my Initial Review approval from CHAIRb?
    1. As per CHAIRb policy, Site Assessment After CHAIRb Review of Initial Submissions, you may not begin research at a specific CAPriCORN institution until a documented Post Approval Assessment is received for that specific institution. Institutional liaisons for the CAPriCORN institutions listed as participating in research will be notified of your Initial Review approval and will notify you once the Post Approval Assessment has been completed.

  6. What is the purpose of the Post Approval Assessment?
    1. The purpose of the Post Approval Assessment is to confirm that the CHAIRb approved research is compliant with all institutional requirements:
      1. Human subjects research training certification has been obtained for all research personnel;
      2. Conflict of interest (COI) review and management plans are in place for any applicable research personnel;
      3. Local context issues (e.g., study registration with the research office, radiation safety, investigational drug, etc.) have been addressed; and
      4. Informed consent language meets the institutions regulatory and legal policies.
  7. Is a documented Post Approval Assessment required for all research that is approved by CHAIRb, including amendments?
    1. Post Approval Assessment is required for all Initial Reviews and Amendments that request significant changes to research and may affect institutional acceptance (i.e., addition or removal of a site, change in the site PI).   8. Can an institutional liaison for a specific CAPriCORN site request changes to my approved research?
    1. Yes.  As per the CHAIRb policy Site Assessment After CHAIRb Review of Initial Submissions, if the site determines that the approved initial research protocol does not meet the institutional requirements or expectations the site liaison will inform the investigator that they are required to address the issues and, if applicable, submit an amendment to CHAIRb before the study may be initiated at that specific institution. The investigator of the study may choose to submit the changes requested by the institutional liaison or decide not to include the particular site for their research.
  9. Should I register all approved research, including amendments to research, with each local CAPriCORN site?
    1. Investigators are required to follow each individual site’s guidelines for registering CHAIRb approved research. Please contact your local IRB or CHAIRb ( if you have any questions regarding registering CHAIRb approved research with your local IRB.
  10. Who should I contact if I forget my password for the Portal or need help filling out the application form?

Dear Researcher-

Welcome to the Chicago Area Institutional Review Board (CHAIRb) electronic portal.

CHAIRb is set up to review human subjects research that is intended to fulfill the scope and mission of the Chicago Area CDRN, CAPriCORN and PCORI. The CHAIRb is responsible for reviewing all applicable research to determine whether the research meets the criteria of human subjects research, whether the research is exempt from IRB review, and perform convened or expedited review prior to research initiation as necessary. 

The CHAIRb electronic portal is designed to deliver a complete electronic document based solution for Human Subject Research. Researchers are able to upload their protocols through this site and keep track of the review progress. Investigators can submit their study for review after they gain a CHAIRb account log in name and password.
